Privacy policy
Last updated: 27 October 2026
This policy explains how Eagle Nest Security Services Ltd ("we", "us") collects and uses personal data when you visit our website, request a quote, apply to work with us, or use our platform. We are the data controller for this information.
What we collect
- Clients and enquiries: your name, company, email, phone number, site addresses and the details of the cover you need, including messages you send us by phone, email or WhatsApp.
- Security officers and applicants: name, contact details, address, date of birth, SIA licence details, right-to-work evidence, employment and screening history, training records and bank details for payment.
- During shifts: clock-in and clock-out times, location at clock-in, clock-out, check-ins and patrol scans, a photo taken at clock-in to confirm identity, and incident reports.
- Website use: basic technical data such as your browser type and pages visited, used to keep the site secure and working.
Why we use it and our lawful basis
- To provide security services to clients and manage shifts (contract and legitimate interests).
- To meet legal duties such as right-to-work checks, SIA licensing and tax (legal obligation).
- To verify attendance and protect lone workers through location and photo checks during shifts (legitimate interests in safety and accurate billing).
- To respond to enquiries and send quotes (legitimate interests or steps before a contract).
Location tracking
Our officer app records location only at clock-in, clock-out, welfare check-ins, patrol scans and when the SOS button is used. We do not track officers outside their shifts.
Who we share it with
We share officer details that a client needs to accept an assignment (for example name, photo and SIA licence number), and attendance records for sites they manage. We use trusted service providers for hosting, email, messaging (including WhatsApp, operated by Meta), payroll and accounting, bound by contract to protect your data. We may share data with the SIA, the Home Office, HMRC or the police when the law requires it. We never sell personal data.
Where it is stored
Data is stored on secure cloud servers. Where any provider processes data outside the UK, we make sure appropriate safeguards are in place as required by UK data protection law.
How long we keep it
Shift photos and location records are kept for up to 12 months unless needed for an incident, claim or legal requirement. Employment, right-to-work and payroll records are kept for the periods required by law. Enquiry details are kept for up to 2 years.
Your rights
You can ask to access, correct or delete your data, to restrict or object to how we use it, and to receive a copy in a portable format. Email us to make a request. If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.
